A free invoice generator with no watermark, and what to put on an invoice

Make a clean PDF invoice for free, with no watermark and no account. Plus a checklist of what every invoice should include and how the totals work.

Invoice is a free invoice generator with no watermark, no sign-up and no limit. Fill in your details, your client's and the line items, then download a clean PDF or share the invoice by link. Below is a checklist of what every invoice should include, a worked example of the totals, and the honest limits.

What to put on an invoice

The rules vary by country, but almost every invoice needs these:

  1. Your name or business name, address and contact email.
  2. Your client's name and address. For a company, use its legal name.
  3. An invoice number. Unique and in sequence, like INV-0041 then INV-0042. It is how you and your client refer to the invoice, and many tax offices expect no gaps or repeats.
  4. The issue date.
  5. A due date, or payment terms such as "due in 30 days." With no due date, an invoice is usually read as due on receipt.
  6. Line items: what you did or sold, the quantity (hours or units) and the price of each.
  7. Subtotal, discount and tax, each shown separately, then the total.
  8. The currency. Say it, especially for clients abroad.
  9. How to pay: bank details, a payment link, or both.
  10. Your tax ID, if you have one and your country requires it, such as a VAT or GST number.

Some countries require more, such as the client's VAT number or specific wording for tax-exempt work. Check with your tax office or an accountant. This is not tax advice.

How to make an invoice with Invoice

  1. Open Invoice. No account.
  2. Fill in your business details and add your logo.
  3. Fill in your client's details.
  4. Add line items, each with a description, a quantity and a unit price.
  5. Add tax, as one rate for the whole invoice or a rate per line, and a discount, as a percent or an amount, if you need them.
  6. Choose the currency, set the due date, and write your payment instructions and any notes.
  7. Download the PDF, or share the invoice by link. Your client opens the link, sees the invoice and downloads the PDF. You keep an admin link to edit it and mark it paid.

The preview updates as you type. Your business details, last currency and next invoice number are remembered on your device, so the next invoice takes a minute.

A worked example of the totals

Sam, a designer, bills a client for a logo and some revisions, with a 10% discount and a sales tax of 8.875%:

Item Quantity Unit price Amount
Logo design 1 $600.00 $600.00
Revisions (hours) 2.5 $80.00 $200.00
Subtotal $800.00
Discount, 10% -$80.00
Tax, 8.875% of $720.00 $63.90
Total $783.90

The discount comes off before tax, so tax is charged on $720, not $800. Invoice works in that order and rounds to the cent, and the PDF and the shared link use the same math, so they always agree.

Getting paid

Invoice does not collect payments. It shows the payment instructions you write, such as bank details or a payment link from a service you already use, and your client pays you directly. When the money arrives, open your admin link and mark the invoice paid. A shared invoice shows as paid, unpaid, or overdue once it is past its due date.

When a paid tool makes more sense

If you need accounting, expense tracking or card payments, a paid tool may fit better:

  • FreshBooks is full accounting software. Its pricing page was showing a limited-time discount when we checked, so we leave its prices out; it offers a 30-day money-back guarantee.
  • Zoho Invoice is free with a Zoho account: up to two users and 500 invoices a year, with "Powered by Zoho Invoice" branding.
  • Invoice Simple has no free plan, only a 14-day trial on mobile. Its Essentials plan costs $6.99 a month for up to 3 invoices a month.
Tool Free plan Sign-up to start Account needed for your client Open source Source
Invoice (ours) No limit on invoices, no watermark No No Source is public, no license yet Invoice
Zoho Invoice 500 invoices a year, 2 users, with Zoho branding Yes Not stated No Zoho Invoice pricing
Invoice Simple None; a 14-day trial, then from $6.99 a month for 3 invoices a month Not stated Not stated No Invoice Simple pricing

Checked on October 19, 2026. "Not stated" means the vendor's page does not say.

A spreadsheet or document template also works, if you are careful with the math and the numbering. If what you need is to send an invoice and get paid, Invoice does that for free.

Privacy

An invoice you only download is made in your browser and never sent anywhere. A shared invoice is stored so your client can open it, and only people with its link can see it. The links are long and random. Only someone with the admin link can edit the invoice or mark it paid.
